Migrate QuickBooks Desktop with the Migrator tool
Note: You need an enterprise administrator to use the migration tool.
If you use QuickBooks Desktop 2018 or later in the US as a single user, you can use the migration tool to move QuickBooks Desktop and the three company files to another computer.
How the Migration Tool Works
 . You will create a strong password to unlock items copied to your new computer. Write down the password so you don’t forget it. You only need this password once for the migration tool.
. The tool will copy the last three open factory files (and all supported files) to the USB flash drive.
. You use a USB stick to transfer files, but the Migrator tool does all the technical work.
. The tool downloads the correct version of QuickBooks Desktop to your new computer and installs it along with your files.
. The tool will not format your device or delete any other files.
what you need
. Connect your new computer to the Internet.
. A USB flash drive with enough free space to store your QuickBooks files. The migration tool will tell you how much free space you need. Most people need 150-250 MB.
How to Install and Use the Migration Tool
Step 1: On the old computer
- 1. From QuickBooks, go to the File menu, select Utilities, and select Move QuickBooks to Another Computer.
- 2. Select I’m done, then create a unique password.
- 3. Follow the instructions to select the USB flash drive you want to use. Then wait for the document to be translated.
Step 2: On the new computer
- 1. Insert the USB memory stick. Due to Windows security restrictions, the copier does not open automatically.
2.Open the flash drive to view the files and double-click the Move_QuickBooks.bat file to start the transfer.
- 3. Enter the password you created, then select ‘Go’.
- 4. Wait for the copier to finish. Note: This depends on your computer and internet speed, as well as the size of your business files.
Note: If Copy does not open after selecting and running the file, you may need to upgrade your version of Windows 10.
The migration tool will automatically delete the QuickBooks file from the USB flash drive when you’re done. Your QuickBooks files will remain on your old computer. We strongly recommend that you rename the file on the old computer to avoid using the wrong file.
What to do next
Since the tool does not copy any data, you may need to take a few steps to run it on a new computer.
Depending on your old computer, you may need:
. Log in to your payment service and pay.
. Log in to Intuit Data Protect and set your backup schedule.
. Transfer additional company files from your old computer to your new computer.
. Create a backup file – It’s always a good idea to back up your business files to your new computer.
